eFIRST Capture is BancTec’s departmental-level capture solution that automatically captures, sorts, processes and intelligently distributes paper and electronic forms and correspondence that arrive into your business. For simple document streams, eFIRST Capture provides the perfect solution for processing inbound structured forms and any associated correspondence.

eFIRST Capture can process many different types of forms — from scanners, fax servers and e-mail — in a single pass, with no pre-sorting. In addition it can identify and process any associated correspondence that arrives with the forms and maintains the association so a complete history of the customer’s transaction can be kept. All relevant data within each document is automatically extracted and verified and the information along with the document image can be routed to the appropriate legacy application, system directory or e-mail address.

One of eFIRST Capture’s greatest strengths is processing a wide variety of structured forms on their own, or together with general correspondence. Using its powerful keyword and phrase identification tools, the system automatically classifies each form type along with any associated documents – and the information e-mailed to the correct business area, or individual, for action, or imported into the correct profile within a content, document management or archive application. Fast keying interfaces, automated validation processes and links to 3rd party databases provides fast verification of data to streamline and reduce the costs normally associated with this type of document processing activity.

Forms Processing. Recognising any form, eFIRST Capture automatically routes it to the correct processing engine and the required data is automatically extracted. Handwritten and machine-printed characters are recognised using ICR and OCR technology. Barcodes, images, tick marks and signatures are also identified and read. Validation can also be enhanced using the tools provided via external database checks or with programmed algorithms.

E-mail Alerts. Using eFIRST, the relevant personnel can be notified as soon as urgent documents arrive. Alerts can be sent by e-mail, SMS messaging or workflow to notify users that a document requires immediate attention or to fast-track the processing of specific documents.

Seamless Integration. eFIRST Capture can be seamlessly integrated with other eFIRST applications for a complete information management, workflow and storage solution. eFIRST is also integrated with many third-party systems; with a standardised XML format output ensuring compatibility with the widest possible range of back-office systems. This compatibility enables eFIRST to provide a single capture platform for the automatic population of your existing archive, document and content management, CRM and ERP applications, without the need to perform manual indexing or data entry tasks.
